Task Management

What is Task Management?

Task management is the process of monitoring your project's tasks through their various stages from start to finish.

For me, Task Management refers to identifying and organising the many different tasks that need to be done for the project and making any necessary changes to the tasks in the process of the project.

What are some Task Management tools?

Work Breakdown Structure

WBS is a tool that helps to break down the project into smaller components. Under each component, the deliverables would be broken down into smaller tasks.

Applying the WBS

The Let's Kawan project's WBS consisted of 4 main components which includes Liaising, Logistics, Programme and Finance. We found that the deliverables under each component were too complex, thus, we broke down the deliverables into smaller tasks. For instance, under Programme, we broke down the deliverables into 3 manageable tasks that are organise in a step by step manner.

Key Values:

The WBS allows us to visually see the various tasks that need to be completed for our project, which helps us to monitor our progress and whether we are on the right track. By breaking down the deliverables, the tasks were more manageable which helped reduce the pressure that we were feeling. For example, under the component of Liaising, the deliverables was too complex due to some last minute changes to our project which caused us to alter some of the tasks. We were stressed out about not being able to complete the tasks. However, the WBS helped us to organise our tasks and break them down so that it is manageable.

Challenge:

It was troublesome and time-consuming to manage the WBS. Our WBS kept on changing as we our initial plan and timeline was altered at the last minute. As a result, we had to constantly update our tasks in the WBS. It came to a point where we stopped updating the WBS as it was too time-consuming
